A CAM reconciliation template that checks itself.

One workbook, four sheets, every figure a formula. Paste the ledger, enter the leases, and read one cell: balances to the cent, or the reason it does not. It ships loaded with a worked example so you can see the check close before you type a number of your own.

No email, no sign-up. Excel 2010 or later, or LibreOffice.

Reconciliation · the check

Plus: rounding

Equals: the pool as incurred
$120,000.00

✓ Balances (rounding $0.00)

Cell B4 of the Reconciliation sheet. Two roads to one figure — the tenants’ rows, and the leases alone — which is what makes it a check and not a total.

What it does

The whole calculation, in the order that gets the right number.

Pools from the ledger

Paste the year’s invoices; each line goes to CAM, Utilities, Taxes or Insurance, and what is not recoverable is set aside first.

Shares, prorated by the day

Area over the building’s area, times the days of the lease that fall in the year.

Gross-up, done right

Variable costs only, to the standard the lease names, never below 1, and only for the leases that carry the clause.

The fee on its base

The administrative fee on top of the share — outside the pool, and excluding taxes and insurance when the lease says so.

What it does not do — said plainly

Where a workbook stops being the right tool.

The template covers the building most reconciliations start from. It does not cover what makes the seventy-fifth lease hard, and it says so on its first sheet rather than letting you find out in March.

  • Caps — non-cumulative, cumulative, cumulative compounding — with their three different ceilings
  • Base years and expense stops, pool by pool, with the floor at zero
  • Refuse a wrong reading: a workbook balances on whatever it is given
  • Remember the building, so next year is an import and a run
  • Produce a statement per tenant with the invoices behind every pool

When you outgrow it

ChargeRecoveries does everything on that list, in the same order, and refuses to freeze a year whose check does not close.

The engine applies caps, base years and stops per lease and per pool; the building remembers its leases and its ledger labels from one year to the next; every tenant gets a statement under your letterhead with the supporting detail behind each pool.
