ChargeRecoveries and QuickBooks Online

ChargeRecoveries keeps your commercial leases, rent, tenant accounts and the year-end CAM reconciliation. QuickBooks Online keeps your books. The two stay in step: what you bill and collect here goes there, the expenses you reconcile come from there, and the balances are checked against each other to the cent.

Invoices, credit notes and payments go to QuickBooks

Each one is sent once, as it is issued or recorded — a tenant becomes a customer, a lease line goes under the item you chose. QuickBooks’ total is checked to the cent against ours; a document it computes differently is undone there and said here.

The expense ledger, read for the CAM reconciliation

Instead of exporting a CSV, read a period of the expense accounts you choose — for one building’s class or location when one company keeps several. Each line keeps its account’s full name and is placed by your saved mapping.

Each tenant’s balance, compared

When you ask, every tenant’s balance here is compared with its customer’s balance in QuickBooks, to the cent: the same, waiting on a document still to send, an opening balance not entered, or a difference for a person to look at.

Setting it up

  1. 1Connect. An admin opens Settings → QuickBooks and selects Connect to QuickBooks, then signs in to Intuit and chooses the company.
  2. 2Choose a start date. Documents dated from that day go to QuickBooks; what came before is the opening balance you enter there.
  3. 3Match. Choose the item each kind of line goes under (rent, charges estimate, late fee, charge-back), and in Canada the tax codes.
  4. 4Link the buildings. Choose which buildings send to the company — a building goes to a company that keeps its books in the building’s currency.
  5. 5Read and compare. On a building’s ledger, read a period of expenses; in Settings, compare the balances. Both only when you ask.

Your QuickBooks data

ChargeRecoveries asks QuickBooks Online for the accounting permission only. It writes customers, invoices, credit notes and payments. It reads your company’s name, country and currency once, when you connect; and, only when a person asks, your items and tax codes, customers by name when one needs linking, expense accounts, classes and locations, the general ledger of the accounts you choose, and customer balances.

The connection’s tokens and your company’s QuickBooks ID are stored encrypted. Nothing read from QuickBooks is shared with anyone, or used for anything but the service you asked for.

An admin can disconnect at any time from Settings → QuickBooks, or from the Apps page in QuickBooks Online: the connection is revoked at Intuit, nothing more is sent or read, and what was already sent stays in your books.
